Based in: SunFarmer Nepal Head Office, Sankhamul, Kathmandu.
The Organization
SunFarmer Nepal Pvt. Ltd. builds world-class solar energy systems for hospitals, schools, businesses, and farms in Nepal. We specialize in introducing innovative solar technology and business models in Nepal; we pride ourselves on doing what has never been accomplished before! Since January 2014, we have completed over 2,000 solar energy projects in Nepal.
SunFarmer Nepal has a small team that consists of some of the leading solar engineers in Nepal. Our office is fast-paced and high performing, but we also like to have fun together.
Duties and Responsibilities
We are currently looking for a highly motivate Administration & Finance Associate to develop and implement a comprehensive day to day Administrative functions at SunFarmer Nepal. The candidate will report directly to the Vice President of Operations (VPOPs) and Administrative Officer of SunFarmer Nepal, and will be expected to perform tasks listed below:
General Administration:
Assist in the office management and facilitate day to day administration and logistics needs.
Responsible for front desk activities, respond phone calls, take message as needed
Response queries of visitors and employees
Support team in the preparation of documents and facilitate project staff meetings and other office meetings as well as logistical arrangements of company activities
Handle office management functions including maintenance of the building and office equipment, arranging off-site archiving
Responsible for maintaining update office employees record files and addressing the employees related issues.
Maintain attendance, leave records of employees and verify on a monthly basis
Coordinate with suppliers to maintain printers, internet, network and others
Conduct physical verification of the inventories once a half yearly and upto date the inventory
Filing and organizing administrative files, project files and ensure that the files are maintained properly
Keep systems for borrowing office supplies and update equipment lists in the system
Responsible for procurement of office supplies, maintain record and verify for payments, materials/equipment preparing purchase requisition, obtaining price quotations and compiling them with the necessary documents
Responsible for printing of SFN related documents, employee’s ID and visiting cards as per the requirement.
Responsible for managing and handling overall administrative work with regards to the regular health checkup and insurance of SFN staff, follow up for the reimbursement and others
Provide information for renewal of project related insurance of plants & equipment’s and coordinate with Operation team for renewal of insurance
Prepare vehicle planning and arrangement as requested by staff
Check that the vehicle log books are properly filled and maintained periodically, at least once a month.
Regular check on vehicle maintenance and keep them in running position
Provide logistical and administrative support to program/ office activities, including coordinating and Organize meetings, workshops, seminars and general in house and external project events
Financial Management:
Support in processing banking transactions and deposit.
Prepare regular reports on expenses and office budgets.
Entry of transactions in QuickBooks online.
Assist for screening documents before processing for payment for accuracy, relevance and entry to system
Adhere to the company's or organization’s financial policies and procedures
Assist to verify reimbursements, complete travel authorization documents
Carry out other tasks assigned by the line manager.

Education:
The person shall hold at least Bachelor Degree in Management. or equivalent from a leading university, and have excellent writing, communication and presentation skills (both in English and Nepali).
Other requirements:
AT LEAST 1 years of professional experience in similar position preferable experience working with foreign investment company.
Must have ability to quickly build relationships with customers and team.
Must have both strong analytical and communication skills. Should be highly detail oriented and organized.
